Advanced Billing Controls

Why it matters

Providing customers more control over the dates associated with billing allows them to maintain good data while meeting their business rules.

Examples: A Real Estate Association's Agent membership type renews in January but the association wants to date the renewal invoices 9/15/21. When running upcoming billing, set the Invoice Date to 9/15 to override the default 1/1 invoice date conferred by the Renew Everyone on January 1st membership setting.

What we built

New as of this morning! When running upcoming billing (Billing -> Upcoming Billing tab), enable Advanced Options to set the following parameters for all invoices created as part of the billing run:

  • Invoice Date

  • Due Date

  • Invoice Template

  • Invoice Terms

  • Invoice Message

This is great for customers who have fixed renewal memberships but want to date invoices several months in advance of the fixed renewal date.

FAQ

If I am running my January invoices and change the Invoice Date in the advanced options, will that change the Next Bill Date on the next scheduled billing items?

No, the Next Bill Date will be advanced based on the same rules as before. The only dates that will be impacted are those that are associated with the invoice.

Do I have to put a date in these fields now?

No. These are not required fields, they can be left blank and things will run as it has previously

When do I put these overrides in if I use the Automated Billing feature?

You don’t. These advanced settings are only compatible with the manual process of generating upcoming invoices.
