This article is about the new JUNO learning management system (LMS). If you don’t see these features on your site, your platform still uses the legacy JUNO courses.
You can control how, when, and how many learners can enroll in courses. Course managers can manage the course enrollment list and waitlist.
Enrollment settings
Instructors and site admins can edit these enrollment settings for each course.
Require enrollment requests or allow self-enrollment
A course can be set up in one of two ways:
Require enrollment requests. Managers are required to enroll learners so that they can take the course.
Allow self-enrollment. Learners can enroll themselves and start the course.
In the Course Info tab, under Rules, toggle Require enrollment requests on or off.
At this time, this setting can’t be edited using the front-end editor. The Client team will add the information to the JUNO importer to be added to the database.
Enrollment capacity and waitlist
You can set an enrollment capacity. Any learners enrolled past that number are added to a waitlist. When someone is unenrolled, the learner at the top of the waitlist is automatically moved to the enrolled list.
In the Course Info tab, under Enrollment Capacity, type a number. If you leave it at 0, there is no maximum capacity.
At this time, this setting can’t be edited using the front-end editor. The Client team will add the information to the JUNO importer to be added to the database.
Enrollment period
You can lock the course so that learners can only enroll or be enrolled within a certain time period. Outside of the enrollment period, learners cannot be enrolled, unenrolled, added to the waitlist, or removed from the waitlist.
In the Course Info tab, under Dates, set these two dates:
Open Enrollment Date: When learners can start being enrolled.
Close Enrollment Date: When learners can no longer be enrolled. If you don’t set this, the enrollment period will never end (until the End Date, when the course no longer displays on the site).
At this time, this setting can’t be edited using the front-end editor. The Client team will add the information to the JUNO importer to be added to the database.
How learners self-enroll
When self-enrollment is allowed, learners see an Enroll button on the course’s home page. When they click it, they are enrolled and the button changes to say Start Course. They click it to start the course.
How learners request to enroll
When enrollment requests are required, learners see an Enroll to Start button on the course’s home page. When they click it, a pop-up tells them to contact their manager about getting enrolled. Enrollment requests are not submitted automatically at this time.
The button on the course home page changes to reflect the status of the course. For example, when the learner is on the waitlist, it says On Waitlist. If the course is closed, it says Course Closed. Learners can’t start the course until the button finally says Start Course.
Enroll, unenroll, and waitlist learners
Who can manage learner enrollment?
Managers and site admins can manage learner enrollment. They can do this even when learners are allowed to self-enroll.
Managers can only see and add learners who are in their admin group, rather than every learner on the platform. Site admins can see everyone.
To enroll or waitlist learners:
Go to one of the course module pages on your site (where multiple courses are listed).
Scroll to the bottom of the page and select Edit.
Select the course you want to edit.
Select the Enrollment tab.
Select a learner from the Add Learners dropdown menu. You can also type a name to search.
Select Add to Course to add them to the Enrolled list. If there is a set course capacity and it’s full, they will automatically be moved to the Waitlist Learner(s) field.
To unenroll learners, select X next to their name.
In the Waitlist, learners are ordered by the date they were added to the waitlist. When you unenroll someone from a course that’s at capacity, the learner at the top of the waitlist is automatically moved to the enrolled list.
